Data protection is of high concern to the WirelessInfo (WRLS) association. This Data Protection Policy describes how WRLS collects, uses, processes and protects personal data in accordance with the General Data Protection Regulation (EU) 2016/679 (GDPR).

This policy applies to personal data processed through websites and information systems administered by WRLS, as well as personal data processed in connection with WRLS research and innovation projects, events, stakeholder engagement and related activities.

WRLS acts as the controller of personal data where it determines the purposes and means of processing. Where WRLS processes personal data on behalf of another organisation, or uses external processors, the respective roles and responsibilities are determined in accordance with the GDPR.

Applications, events and stakeholder engagement

When individuals register for events, participate in project activities, communicate with WRLS or otherwise provide personal data directly to WRLS, personal data may include, depending on the activity, name, surname, organisation, contact details and other information necessary for the respective purpose.

Personal data are processed only where an appropriate legal basis under the GDPR applies. Depending on the purpose and circumstances, this may include consent, performance of a contract or steps taken prior to entering into a contract, compliance with a legal obligation, or legitimate interests pursued by WRLS or a third party.

Where processing is based on consent, consent may be withdrawn at any time without affecting the lawfulness of processing carried out before its withdrawal.

Research and innovation projects

WRLS participates in national and international research and innovation projects. Within these activities, WRLS may process limited personal data relating to project participants, stakeholders, farmers, producers, experts, representatives of organisations or other persons involved in project activities.

WRLS applies the principles of purpose limitation and data minimisation. Only personal data necessary for the respective research, communication, stakeholder engagement, information service or other defined project purpose are processed.

Unless specifically required and appropriately safeguarded for a particular research activity, WRLS does not intentionally collect or process special categories of personal data within its standard project activities.

Data obtained from public and third-party sources

In some research projects and information services, WRLS may process information obtained from public registers, open data sources, public websites or other third-party sources.

Such information may include information about businesses, farmers, producers, products, points of sale or other stakeholders. Where such information relates to an identified or identifiable natural person, WRLS treats it as personal data and processes it in accordance with the GDPR.

The applicable legal basis is determined according to the purpose, nature and source of the processing. Where required, information about the processing and the source of the personal data is made available to the data subjects in accordance with the GDPR.

Photos, audio and video

Participants in events organised by WRLS may be photographed or recorded for documentation, communication and dissemination purposes.

Where consent is the applicable legal basis, participants are informed accordingly and may withdraw their consent. Photographs and audio or video recordings may be used for documentation of activities, websites, publications, communication materials, reports and grant-related dissemination activities in accordance with the purpose communicated to participants.

Personal data protection and retention

WRLS implements appropriate technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure, loss or destruction.

Where appropriate, personal data transmitted electronically are protected by encrypted connections. Access to personal data is restricted to authorised persons who require access for the relevant purpose.

WRLS processes personal data only for specified purposes and does not retain personal data longer than necessary for those purposes, unless longer retention is required by applicable legal, contractual or project obligations.

Data subject rights

Data subjects may exercise the rights provided by the GDPR, where applicable, including the right to:

  • obtain information about the processing of their personal data;
  • request access to their personal data;
  • request correction of inaccurate or incomplete personal data;
  • request erasure of personal data;
  • request restriction of processing;
  • object to processing;
  • receive their personal data in a portable format where applicable;
  • withdraw consent at any time where processing is based on consent; and
  • lodge a complaint with the competent supervisory authority.

Data breach response

Any suspected loss, unauthorised disclosure, alteration or other breach of personal data processed by WRLS is assessed without undue delay.

WRLS takes appropriate measures to contain and mitigate the incident and documents personal data breaches as required. Where a breach is likely to result in a risk to the rights and freedoms of individuals, WRLS will notify the competent supervisory authority in accordance with the GDPR. Where a breach is likely to result in a high risk to affected individuals, WRLS will also inform those individuals where required by the GDPR.

Third-party data processors

WRLS may use third-party service providers for hosting, communication, analytics, data storage or other technical services. Where these providers process personal data on behalf of WRLS, appropriate contractual and data protection arrangements are applied in accordance with the GDPR.

Third-party services currently used by WRLS may include services provided by Google. The use of such services is subject to the applicable provider terms and data protection arrangements.

Where the processing involves a transfer of personal data outside the European Economic Area, WRLS relies on an applicable transfer mechanism or safeguard recognised under the GDPR.

Website analytics

WRLS websites may use analytics services to understand website usage and improve the services provided. Where analytics technologies involve the processing of personal data or the use of cookies or similar technologies requiring consent, they are used in accordance with applicable data protection and electronic communications requirements.

This Data Protection Policy also applies, where appropriate, to other websites and information systems administered by WRLS.
